A global organization in Mississauga, Ontario is seeking a polished, proactive, and highly organized Office Manager to take ownership of daily office operations and help ensure the workplace runs smoothly and efficiently.
This opportunity is ideal for an experienced administrative professional who enjoys being the central point of contact within an organization and supporting employees, executives, vendors, onboarding activities, business travel, company events, and internal communications.
The Office Manager will oversee day-to-day office operations while coordinating with HR, IT service providers, executives, employees, contractors, and external vendors.
Key Responsibilities
Oversee daily office operations, including supplies, equipment, mail, couriers, facilities, vendors, budgets, and workplace health and safety.
Serve as the primary contact for building management, landlords, contractors, and external service providers.
Maintain office policies, procedures, inventories, and an organized and fully functioning workplace.
Coordinate with outsourced IT providers regarding hardware, software, networks, repairs, and equipment replacements.
Set up and decommission employee workstations, equipment, accounts, software access, and credentials.
Troubleshoot basic technology issues and escalate complex problems to IT support.
Support HR with onboarding, orientation, welcome materials, employee records, directories, organizational charts, and interview logistics.
Plan company events, off-site meetings, celebrations, recognition programs, catering, contracts, budgets, and on-site logistics.
Coordinate domestic and international business travel, including flights, accommodation, transportation, budgets, and policy compliance.
Prepare and distribute announcements, office updates, memos, newsletters, presentations, and internal communications.
Maintain internal communication channels, including the company intranet and office bulletin boards.
Support executives and department leaders with calendars, meetings, agendas, minutes, follow-ups, expenses, and office budget tracking.

Requirements & Skills
Minimum 3 years of experience in office management, administration, executive support, or a related position.
Strong organizational skills and the ability to manage multiple priorities.
Excellent written and verbal communication skills.
Experience supporting executives, employees, vendors, and external service providers.
Comfortable coordinating basic IT and technology requirements.
Proficiency in Microsoft Office or Google Workspace.
Familiarity with HRIS or ticketing systems is considered an asset.
Strong judgment and discretion when handling confidential information.
Proactive, dependable, resourceful, and service-oriented approach.
Bachelor’s degree preferred or equivalent professional experience.
