Job Description: Personal Assistant

Job Title: Personal Assistant (PA)

Reports To: Employer / Executive

Job Summary:A Personal Assistant provides administrative, organizational, and personal support to an individual or executive. The role involves managing schedules, handling correspondence, coordinating travel arrangements, organizing meetings, and ensuring daily activities run smoothly and efficiently.

Key Responsibilities

• Manage and maintain calendars, appointments, and schedules.

• Screen phone calls, emails, and other correspondence.

• Arrange meetings, prepare agendas, and take meeting notes when required.

• Coordinate travel arrangements, including flights, accommodation, and transportation.

• Organize and maintain confidential files, records, and documents.

• Run personal and business-related errands as needed.

• Prepare reports, presentations, and correspondence.

• Liaise with clients, suppliers, and other stakeholders on behalf of the employer.

• Monitor deadlines and ensure timely completion of tasks.

• Handle expense reports and basic bookkeeping duties.

• Assist with event planning and coordination.

• Maintain discretion and confidentiality in all matters.

Required Qualifications

• High school diploma or equivalent; a degree or certification in Business Administration is an advantage.

• Proven experience as a Personal Assistant, Executive Assistant, or similar role.

• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

• Excellent verbal and written communication skills.

• Strong organizational and time-management abilities.

• Ability to multitask and prioritize effectively.

• High level of professionalism and confidentiality.
