Job Summary:
The Medical Receptionist serves as the first point of contact for patients and visitors, ensuring a professional, welcoming, and efficient experience. The role is responsible for managing appointments, patient records, communications, billing support, and administrative tasks to ensure the smooth daily operation of the clinic.
Key Responsibilities:Patient Reception & Customer Service
• Greet patients and visitors in a professional and friendly manner.
• Assist patients with registration and check-in procedures.
• Provide information regarding clinic services, schedules, and procedures.
• Address patient inquiries and direct them to the appropriate personnel when required.
• Maintain a high level of customer service and patient satisfaction.
Appointment Management
• Schedule, confirm, reschedule, and cancel patient appointments.
• Manage the clinic appointment calendar efficiently.
• Send appointment reminders and follow up on missed appointments.
• Coordinate appointments with therapists, physicians, and healthcare providers.
Administrative Duties
• Maintain accurate patient records and ensure confidentiality.
• Update patient information in the clinic management system.
• Prepare and organize patient files and documentation.
• Handle incoming and outgoing phone calls, emails, and messages.
• Perform general clerical and administrative tasks.
Billing & Payment Support
• Process patient payments and issue receipts.
• Assist with invoicing and payment tracking.
• Coordinate with insurance providers when applicable.
• Maintain accurate financial and billing records.
Clinic Operations Support
• Ensure the reception and waiting areas remain organized and presentable.
• Monitor office and clinic supplies and report shortages.
• Coordinate with housekeeping and maintenance personnel when required.
• Support clinic management in administrative projects and reporting activities.
